Dynamic Categories

What changed? in one sentence: Categories have evolved from a simple flat list into a hierarchical structure, allowing you to create subcategories within parent categories and organize your products in a way that more closely reflects how your store is structured and how customers shop.

Previously, all categories were arranged in one lengthy list. If you offered ten types of edibles, you either grouped them all under a single 'Edibles' category or created ten distinct, unlinked categories.

The new categories way

Imagine categories functioning like computer folders. You can nest categories within others, with each one capable of holding even more. The term "dynamic" encapsulates this flexibility; design the structure as you wish and alter it whenever suits you. Like the example below:

  • Tidier lists: Related categories are grouped together instead of scattered.
  • Smarter filtering: Select a parent category like Flower, and the system automatically includes its subcategories such as Indica, Sativa, and Hybrid, so you can filter everything at once without selecting each category individually. 
  • Room to grow: Adding a new product line means adding it in the right place, not making the flat list longer.

Adding a category inside another one

 When you create or edit a category, you can choose a parent category, which determines where it sits within your category structure. 

 

Select None when you want the category to be a base category.

⚠️ Important: Using None as the parent will create a base category. The Dynamic Categories feature must be enabled in Settings for this option to be available.

One category per product — unchanged 

This has not changed. Each product still belongs to exactly one category, chosen the same way as before.

⚠️ Note: Base categories cannot be a category of a product.

 What has changed is that you can now assign a product to any category within the category hierarchy, including subcategories several levels deep. Choosing the most specific category is recommended, as the product will automatically be included when customers filter by any parent category above it.

Example: A product in Indica also appears when someone filters by Flower or by Cannabis. You only set it once.

You never have to tick multiple categories. Put the product in the most specific category that fits, and the parent categories take care of themselves.

Filtering: pick one category, get everything inside it.

This is the biggest day-to-day change.

Previously, choosing a category filter matched only that exact category. Now, choosing a category matches that category and everything nested inside it. 

Example — filtering by Flower on a sales report now includes Indica, Sativa, and Hybrid products automatically. Before, you would have had to run the report three times.

If you want just one specific group, pick the specific sub-category instead. You are always in control of how wide the filter goes:

      • Pick a parent category → broad results, everything underneath included.
      • Pick a sub-category → narrow results, just that group.

Where will you see the new category filter?

The tree-style category picker has replaced the old flat dropdown across the system. You will find it in:

Reports:

      • Category Sales (with sub-category breakdown)
      • Category Product
      • Revenue Report
      • Product Ranking
      • Inventory Snapshot
      • Inventory Age
      • Inventory Log
      • Monthly Inventory
      • Manual Inventory Change

 Old reports still work. Anything saved or scheduled before this update keeps running. The filter simply reaches further now — a parent category also covers its sub-categories.  

The POS category filter is now a tree 

On the POS screen, the category filter is now a searchable tree instead of a flat list.

How to use it:

    • Tap a category to filter the products shown.
    • Tap the arrow next to a category to open it and see what is inside.
    • Type in the search box to quickly find a category. Matching results will show with their parent categories expanded, so you can easily see where each category belongs.
    • Tapping a parent category shows everything inside it, so Flower brings up all your flower products at once.

On the POS, the base categories cannot be selected directly as a filter, you select the real categories inside them. This keeps cashiers on meaningful groups rather than the top-level containers.  

Reordering: drag to rearrange and re-home categories 

The category list is now drag-and-drop.  Reordering does more than change the display order. It also lets you move a category to a different place within your category structure.  

Dragging a category lets you do two things at once:

      1. Change its order — drop it above or below its siblings to change the display order.
      2. Change its parent — drop it onto a different category to move it inside that one.

When you move a category, everything inside it moves too. Moving Flower also moves Indica, Sativa, and Hybrid, and the products stay with their categories throughout. Nothing is unassigned or lost.

⚠️Two things the system will not let you do, to keep the structure valid:

    • You cannot drop a category into one of its own sub-categories (a category cannot end up inside itself).
    • You cannot drag while a search is active — clear the search box first, so you can see the true structure you are rearranging.

Base categories are protected

Your store’s base categories, which are the top-level categories such as Cannabis and Accessories, are locked by default. They cannot be moved or rearranged.

This is deliberate. Base categories are tied to reporting, compliance, and how products are classified, so an accidental drag at the top level could affect far more than it appears to.

Everything inside the base categories is freely editable. You can add, rename, reorder, and re-home your own sub-categories at any time without unlocking anything. For almost all everyday work, the lock never gets in your way.

Unlocking base categories

If you genuinely need to rearrange at the top level, an administrator can turn on:

Settings → “Enable Reorder Base Product Categories” 

With the setting off (the default), attempting to move a base category is refused with the message “Change Base Categories not Allowed”.

With the setting on, base categories become draggable like any other.

⚠️ Turn this on only when you actually need it, and turn it back off afterwards. Rearranging base categories affects how products are classified and how reports group your sales. If you’re unsure, leave this option turned off and organize your products within the existing base categories. This will work for most situations.
